Executive Director of Conference, Events and Special Programs

Job Description

Responsible for the overall management and daily operation of Conference, Events and Special Programs (CES). Provides leadership in terms of the direction and focus for CES and activities/events for the University. Oversees and supports managers for major initiatives and programs in the unit including summer conferences, and internal and external events. Oversees budget and operations to create innovative programming and expand outreach based on sustainable budget development.

Specifically for Conference, Events and Special Programs, the Executive Director provides management and leadership, and is responsible for the overall planning with stakeholders and physical operations of all conference and events services (internal and external).

Primary Responsibilities:

  • Oversee the implementation of strategic partnerships for summer conferences and external events.
  • Serve as CES contact for community events and general University events including logistical planning for these events.
  • Build reputation for service and quality.
  • Oversee marketing efforts necessary for the division.
  • Work closely with the departments of Facilities, Campus Safety, Event Media Services, Parking, Sodexo Dining
  • Services, and other external vendors to ensure that conferences and events are planned, coordinated, and produced in a professional manner.

Supervisory Responsibilities and Executive Level Leadership:

  • Supervise 11 staff, including operations, planning and logistics.
  • Create a team approach with open communication between Executive Director and staff.
  • Within the division, monitor, inform, and report on conference, events and special programs.

Executive Director Conference, Events and Special Programs Primary Responsibilities:

  • Research, develop and solicit new and returning business to ensure advance bookings necessary for successful and profitable operation; participate in setting and achieving the generation of revenue goals.
  • Oversee the summer conference program.
  • Review and sign contracts and business agreements to provide ongoing staff support for client relationship management.
  • Maintain open communications with the campus community concerning upcoming conferences and events which may impact normal University operations.
  • Oversee liability insurance requirements for external events.
  • Partner with risk management on events.
  • Participate with budget manager in budget development, analysis, preparation, compilation, and distribution of the billing and financial reporting for the department.

Executive Director Conference, Events and Special Programs Secondary Responsibilities:

  • Oversee the Public Good Fund that was established to attract new and diverse groups to campus. These groups are typically underserved and/or underrepresented.
  • Oversee weddings, receptions, memorials, and all internal/external events.
  • Recommend policy change to the administration.
  • Work with Sodexo to ensure that guests receive the highest quality catering and dining service when on campus.
  • Work with housing to promote a positive relationship and seamless turnaround for our summer conferencing program.
  • Negotiate contracts for our summer linen service and Aramark services.
  • Vet all event requests for new and potential clients.

Specific Current Executive Director Responsibilities:

  • Work with provost staff on planning and logistics for events including the new faculty event, provost concert, provost faculty recognition reception, provost research dinner, University Lecture and other events as requested.
  • Work on city/government related events as requested including the Denver Post Spelling Bee, Denver Public
  • Schools Science Fair, Mayor’s Housing Summit, Veterans Events, Gubernatorial Debates and Polling Center.
  • Others as requested.

Knowledge, Skills and Abilities:

  • Comprehensive knowledge of event planning concepts, practices, and procedures; the ability to apply that knowledge in multiple, difficult, and/or unexpected situations.
  • Ability to creatively solve problems that are varied and complex and do not often recur.
  • Knowledge of risk management.

Required Qualifications:

  • Bachelor’s degree.
  • 5-7 years of work experience with conference/event coordination, program planning and/or event management.
  • Demonstrated success managing events.
  • Previous supervisory experience.
  • Experience working with diverse stakeholders including executives, faculty, board of directors and the community.
  • Budget management experience including setting and achieving revenue goals.

Preferred Qualifications:

  • Master’s degree in relevant discipline.
  • 7-10 years of work experience with conference/event coordination, program planning and/or event management, specifically in higher education.
