Crewing Coordinator

The Crewing Coordinator will support the recruitment and coordination of Officers and Crew including all activities related to scheduling for Holland America Line. This will include maintaining our seagoing employee database (MAPS) and overseeing the crew’s travel and transfers to and from the ships.

Responsibilities:

  • Responsible for coordination of crew schedules which includes preparing current and future boarding and repatriation reports
  • Analyzing recruiting requirements and distribute to Planning Managers and Manning Agents.
  • Support all vessels with regards to staffing issues as assigned by Planning Managers: coordinating current/future employee repatriations and ensure the MAPS system is updated accordingly.
  • Respond to policy and procedure inquiries received from Global Talent Partners ensuring employees are in compliance with training requirements as well as passports, visas, seaman’s books and licenses are current.
  • Assist and support the Planning Managers in a variety of staff and administrative functions as requested.
  • Provide consultation and guidance to other members of the Fleet HR staff in completion of special projects, recruitment, employee relations.
  • Provide MAPS reports ensuring accuracy to HR Managers, Operating Departments and Global Talent Partners updating current and future Table of Personnel (TOP) variances as requested.
  • Oversees MAPS changes of all boarding, repatriation and transfer information is input correctly and all changed communicated appropriately.

Requirements:

  • AA and or 2 years HR experience required, Fleet HR or Cruise industry experience is a plus
  • Strong organizational skills
  • Ability to prioritize and multi-task
  • Experience with MS Office and Outlook required
  • MS Project experience is a plus
  • Experience working in international staffing a plus
  • Understanding of travel/work visa a plus

Administrative Assistant

Responsibilities: 
Provide high-level administrative support to the Vice President Compliance and support to the Compliance team within Ethics Legal and Risk Services Department in a fast-paced environment with complex priorities by handling information requests, and performing administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings, logging and managing correspondence.

• Manages VP Compliance schedule.
• Consolidates data and information for various meetings and reports within established deadlines.  May assign and distribute meeting minutes and compile responses for review, as well as tracking completion of assignments to staff.
• Perform administrative duties, drafting memos and correspondence, maintaining files, and organizing documents. Photocopying, faxing, collating, etc., as needed.
• Arrange travel, accommodation, itineraries, and all correspondence related to arrangements as needed.  Processes expense reports.
• Plans/organizes and implements events such as meetings, business luncheons, or work related dinners.
• Prepares as requested reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings.

Accounts Payable Specialist

Responsibilities
Responsible for handling HAGroup A/P shared-service invoicing processes which requires clearing various Markview invoice queues, assisting/training data entry clerks, communicating with internal/external customers, and actioning discrepancies for prompt resolution and payment. Including system uploads, report generation and invoice audit ensuring invoices are entered correctly in accordance with accounting policies and SOX guidelines.

•Coordinate workflow, train and guide accounting clerks in their respective invoice processing duties.
•Research and resolve vendor and internal inquiries (buyers and general dept. personnel) promptly and professionally within Finance guidelines to ensure supplier payments are accurately processed in accordance with terms and strive to protect our HAGroup vendor relationships.
•Review/audit entered invoices over a specified threshold for accuracy prior to payment.
•Clear Markview invoice workflow queues timely and accurately within the A/P guidelines.
•Generate and work various system reports to clear exceptions and to track production.
•Document processes and assist with desktop procedure updates for the accounting clerks.
•Cross-train and assist in the training of Accounts Payable processors.
•Provide backup support for other Accounts Payable Specialists.
•Assist supervisor with research for journal entries, account reconciliation, system downloads/uploads, invoice discrepancy resolution and other special projects as assigned.
•Follow all Accounts Payable policies and SOX guidelines on a daily basis.  Communicate witnessed system and procedural concerns to management to ensure limited control gaps.
•Actively participate in learning HAGroup systems, utilized software, communication skills and general Accounts Payable concepts, through on the job performance and training and development sessions.
•Provide constructive feedback to supervisor for the maintenance of a positive work environment.

Requirements:
•GED/High School Diploma Required; Associates Degree in Business/Finance field preferred.
•Three plus years of Accounts Payable/Finance related experience within a large organization.
•Proficient in Excel, Word, Outlook and data entry skills. 10 key by touch, 50wpm.
•Large Accounting System experience desirable. ie: Markview, Oracle, SAP, JD Edwards, or PeopleSoft.
•Prior Lead/Specialist experience a plus in a fast paced production environment with limited supervision.

Accounting Manager

Responsibilities:
Manage the financial accounting for Holland America Group for the Lease Accounting area.  The Manager, Lease Accounting, is responsible for oversight of the lease accounting standards as outlined in ASC842 / IFRS 16.  This includes and is not limited to obtaining, evaluating and performing accounting, reconciliations and reporting for all contracts that fall within the scope of the lease accounting standards.  This position reports to the Director of Asset Accounting and will liaise closely with Carnival All-brands Corporate Accounting.

• Manage the monthly, quarterly, and annual close process for Holland America Group SG&A.  Ensure proper reporting according to Generally Accepted Accounting Principles (GAAP) and timely reconciliations.
• Support the initial implementation and manage all future operations of Holland America Group’s lease accounting system solution and lease accounting related accounts in Oracle.
• Serve as primary liaison between Holland America Group Accounting and Carnival All-brands Corporate Accounting.  Partner with other brands accounting teams to ensure consistent accounting company wide.
• Collaborate with Financial Planning teams, Management, and Business Operators to complete reporting deliverables.  Identify and pursue efficiencies in financial reporting and accounting processes.
• Complete variance analyses of financial performance results against budget, forecast, and prior periods in order to ensure accurate financial reporting for lease accounting related balances.
• Support planning and forecasting activities as related to lease expenses and obligations.
• Review, evaluate and perform accounting, reconciliations and reporting for all contracts that fall within the scope of the lease accounting standards.
• Ensure that lease accounting is performed consistently across Holland America Group brands and in accordance with Carnival Corp & PLC accounting policies.
• Promote and develop a strong sense of teamwork, contribution, and learning within the department.

Requirements: 
• Bachelor’s degree in Accounting, Finance, or related field, CPA preferred
• Understanding of Lease accounting principles and prior experience with ASC 840/842 and IFRS 16 preferred
• Prior experience with Lease Accelerator or other lease accounting system solution preferred
• 5+ Years Accounting/Finance experience
• Strong analytical and leadership skills
• Experience with internal controls in a Sarbanes Oxley environment
• Excellent communication skills (written and verbal)
• Experience with Oracle or another enterprise level accounting system preferred
